What is the maximum size of a file that can be sent using FileCap?

FileCap has no limits when it comes to file size and so with FileCap, in theory, any file of any size can be sent. However, because we use the Amazon platform for our SaaS environment, there is still a limit to how large a single file sent with FileCap can be. This limit is 5TB (5 terabytes, which is approximately 5,000 gigabytes).

To put this in perspective a bit:

  • That's more than 1,000 DVDs
  • That's more than 2,400 hours of Full HD video
  • That's more than 1,000,000 photos of 12MP
  • That's more than 30 million Office documents

So this limit only applies to one file! If you want to send 20 files of 4TB each, you can just do that.

For which Outlook versions does FileCap offer a plug-in?

FileCap offers plug-ins for the mail application Outlook on Windows, Mac and the web version. Once a FileCap customer, you can download the plug-in through the administrator portal to activate FileCap on computers with it.


Unfortunately, we do not (yet) offer support for the Outlook UWP app released in 2023. Users of this we recommend using the Office 365 Outlook app and the FileCap add-in available for it. You can read more about the arrival of this new Outlook version here.

What happens to FileCap when I retract a mail sent via Outlook?

A mail sent with FileCap can be retracted via Outlook in the same way as a regular message, just after sending but also at a later time. Should the recipient from his or her mail program (Outlook for example) still visit the link through which the mail and file(s) can be accessed, he or she will receive a notification from FileCap that the mail and any added files are not available.

Does FileCap have Business Rules / DLP?

Yes, FileCap has extensive capabilities to set Business Rules (also known as Data Leakage Protection / DLP).

Filecap's DLP functionality proactively identifies and prevents potential data loss incidents. DLP checks emails and automatically and intelligently detects sensitive information. With our customizable rules and policies, specific data types (including Office and Open Documents files) and keywords can be defined that should not be shared via email. This way, strict regulations and internal compliance requirements are met, while minimizing the risks of data loss.

If I have multiple limited liability companies or corporations, do I need to purchase a license for each company separately?

No, that is not necessary. If a company consists of multiple entities (private companies or trade names, for example), we can create a special license (site license). This license is purchased once for all companies together and then a sub-portal can be created for each company separately. This allows each BV or entity to keep its own house style and settings, but only one license is necessary.

Does FileCap have any certifications?

Yes, FileCap has the ISO 27001 certification.

ISO 27001 certification is an international standard for information security. It was developed by the International Organization for Standardization (ISO) and the International Electrotechnical Commission (IEC). The standard defines requirements for a security management system (ISMS) and outlines how an organization can manage its information security.

Since April 1, 2021, Contec has been certified to the ISO 27001 standard. This means that the company meets strict information security requirements. Contec's ISMS has been tested and approved by an independent certification body.

Contec is committed to protecting the privacy and security of personal data of its customers and users. Contec's FileCap solution is fully compliant with ISO 27001 certification. This means that the FileCap solution has been designed and implemented according to the requirements of the ISO 27001 standard and that Contec's BMS has been integrated into the FileCap solution.

In addition, the FileCap solution is also GDPR-compliant. GDPR is the General Data Protection Regulation, the European data protection legislation. This legislation applies to all organizations that process personal data of individuals within the European Union (EU). In the Netherlands, this legislation has been transformed into the AVG, the General Data Protection Regulation.

The GDPR imposes strict requirements on the processing of personal data and gives individuals more control over their own data. For example, organizations must be transparent about how they process personal data and meet specific requirements for obtaining consent to process personal data.

The FileCap solution meets these requirements and therefore provides a secure and reliable way to share and manage files. Contec is proud of its ISO 27001 certification and its GDPR-compliant FileCap solution and remains committed to ensuring the security and privacy of its customers and users.

Can FileCap allow me to retract a message after it has been sent?

FileCap allows you to retract a sent message and delete the attachments. This can be useful if you accidentally sent the wrong file or if you want to cancel the message before recipients have received it. But even after a recipient has opened the message, it can still be retracted.


After you send a message, you will receive a notification from the FileCap server containing a unique link. To withdraw a message, click on this link. You will then be directed to the FileCap portal and there you will have to confirm again that you want to withdraw the message.

If you send your mail from the FileCap portal, you can retract the message immediately after sending it.

With the option to withdraw a message and delete its attachments, FileCap provides an additional way to ensure security and control over sent messages and files.

Does FileCap comply with AVG legislation?

Yes, FileCap is "the" solution to meet this. Our cloud environment is always located within Europe.

Can I also send large files with FileCap?

Sending large files is often a challenge, especially if the files are too large to send by email through an app like Outlook. Fortunately, with FileCap, this is no problem at all.

FileCap is a solution for securely and easily sharing files to and from any location. No matter the size of the files you want to send, FileCap allows you to send them easily and quickly.

Let's look at some examples of large files you can send with FileCap:

  • A video in 4K resolution: these files can easily exceed 100 GB in size, but with FileCap, sending them is no problem at all.
  • A 3D animation: these files are often very large and would not normally be able to be sent by e-mail. With FileCap, however, sending them is a simple task.
  • A series of high-resolution photos: if you want to send a large amount of high-resolution photos, this can lead to several gigabytes of data. With FileCap, however, you can easily send these files.

Sending these large files with FileCap is not only easy, it's also secure. FileCap uses secure servers and encryption to ensure that your files are sent and stored securely.

Can FileCap also be used to safely receive files?

Yes, with FileCap you can easily receive large files no matter where you are or what device you are using. There are two ways you can receive large files with FileCap:

  1. Invitations: with FileCap's invitation feature, you can easily send invitations to people to send files to you. You can send the invitation via email or share a direct link to the FileCap portal. The recipient just has to click on the link to send the files to you.
  2. FileCap portal: you can also use the FileCap portal to receive files. The portal is a Web application that allows people to send files to you without having to install an account or software. The portal is easy to use and can be fully customized to match your organization's corporate identity.

Let's look at some examples of large files you can receive with FileCap:

  1. A video presentation: imagine you want to receive a video presentation from a colleague working at another location. The presentation is made in high resolution and is therefore too large to send by e-mail. With FileCap, you can easily send an invitation to your colleague or use the FileCap portal to receive the presentation.
  2. A series of high-resolution photos: if you want to receive a large amount of high-resolution photos from a client, this can add up to several gigabytes of data. With FileCap, you can easily send an invitation to the client or use the FileCap portal to receive the photos.

Receiving large files with FileCap is not only easy, it's also secure. FileCap uses secure servers and encryption to ensure that your files are sent and stored safely.

How does the licensing model work?

We have two pricing models and they depend on the number of users.

Up to 20 users: price per e-mail address/user (named pricing model)

From 20 users onwards choice of:

  • price per email address/user either
  • Company-wide/all-user price (domain-based pricing model) *

* We assume for a price per domain / entire organization that on average 25% of the employees use the FileCap solution with some regularity. The price is based on this assumption. Is this percentage higher in your company? Then this is still fully included in the price and no extra costs will be charged. Depending on the specific situation, we look together at the most advantageous pricing model.

What verification methods does FileCap have?

FileCap offers several authentication methods to ensure that only authorized users have access to the information you sent. There are four authentication methods you can choose from:

  1. Email verification code: this method is the default verification for FileCap. When sending a message, FileCap sends an email to the recipients containing a verification code. To access the message and attachments, recipients must enter the verification code on the FileCap portal.
  2. SMS verification: instead of an email verification code, you can also choose SMS verification. With this method, FileCap sends a verification code by SMS to the recipients' cell phone. They must enter this code on the FileCap portal to access the message and attachments.
  3. Self-created password: you can also choose to use a self-generated password to access the message and attachments. The sender sets up the password and shares the password with the recipients. They must enter the password on the FileCap portal to gain access.
  4. Company password: this option is especially useful if you regularly exchange information with another company. You can set a company password valid only for users of the same company. This way you can easily exchange secure files with people from the other organization.

You can choose to use one verification method or use two verification methods for added security. For example, if you choose an e-mail verification code and a self-generated password, recipients must enter both the verification code and password to access the information.

Can I also use FileCap with Gmail or Hotmail?

Yes! There are options for using FileCap in conjunction with Gmail, Hotmail, iCloud mail, Yahoo Mail or other email providers.

  1. If you use Gmail or Hotmail or another online mail provider through your web browser, you can simply go to your FileCap portal, log in there with your email address and securely send a message or files to recipients. If you have this set up within FileCap, you will get a confirmation of your sent message. If a recipient reads the message or downloads files, you will also receive a notification of that and if you receive a reply from a recipient, you will receive a notification of that in your mailbox and you can read the reply on the FileCap portal.
  2. If you use Hotmail, Gmail or another e-mail service in conjunction with Outlook, you can also choose to use the FileCap Outlook add-in. You can then register this with your own e-mail address and link it with your FileCap environment. After registering, the FileCap add-in will allow you to easily email and send files securely.
  3. Do you have an e-mail address that ends in @hotmail.com or @outlook.com? Then you can also very easily add FileCap's add-in to your webmail environment from your mailbox. Start a new email, click on the 3 dots at the bottom of the screen (next to the OneDrive icon) and choose "Download Add-ons." Then click on "My plug-ins" and choose "Add custom plug-in" and then "Add from file...". From FileCap's administrator interface, you can download a manifest file (an XML file). You can upload it here. Then you can activate the add-in and use it immediately.

It is currently not (yet) possible to use FileCap with the Google Chrome browser via an Extension. It is possible that this will be possible in the future. Keep an eye on our website for this!
